Landlord Boiler Service

Boiler servicing for landlords across Sunderland and the North East

Why landlords service the boiler every year

There are three reasons landlords service a boiler annually, and none of them are paperwork for the sake of paperwork.

The warranty. Almost every manufacturer warranty on a domestic boiler is conditional on an annual service by a Gas Safe registered engineer, recorded and dated. Miss a year and the warranty is usually void. On a boiler that is five or six years into a ten year warranty, a missed service can turn a free heat exchanger replacement into a bill of several hundred pounds. The service record is the evidence the manufacturer asks for, so it needs to exist and it needs to be findable.

Breakdown risk mid tenancy. Boilers fail in January, not in July, and they fail under load. A no heat and no hot water call out in a tenanted property is the worst version of a repair: the tenant is cold, you are paying emergency rates, availability is thin because every other landlord in Sunderland is calling the same engineers, and the repair happens on someone else's timetable. A service does not eliminate that risk. It does catch the things that cause it, including a sooted or partially blocked heat exchanger, a failing diverter valve, low system pressure from a slow leak, a corroded expansion vessel and a sticking pump.

It is a different job to the safety check. This is the one landlords most often get wrong, and the confusion costs money in both directions. Some landlords pay for a service they already believe they have. Others believe a service covers the legal duty when it does not.

Gas Safety Record (CP12) and boiler service: the difference in plain English

A Landlord Gas Safety Record, also called a CP12, is a safety check. A Gas Safe registered engineer checks every gas appliance, fitting and flue in the property, tests the tightness of the installation, checks ventilation and combustion performance, and records whether each appliance is safe to use. For privately rented homes in England the check is required every 12 months, a copy of the record must be given to existing tenants within 28 days, and a copy must be given to new tenants before they move in.

A boiler service is a condition and efficiency job on one appliance. The engineer opens the boiler up, inspects and where necessary cleans the internal components, checks the gas rate and operating pressures against the manufacturer's figures, analyses the combustion where the appliance supports it, and records what they found. It is about how well the appliance is working and how long it is likely to keep working, not only about whether it is currently safe.

A CP12 checks safety. A service checks condition and efficiency. A CP12 alone is not a service. The two overlap, because both involve a Gas Safe registered engineer looking at the same appliance, but the scope, the time on site and the record produced are different. If a previous provider gave you a Gas Safety Record and nothing else, the boiler has not been serviced, and the manufacturer will take the same view.

What is included in the service

Exact scope varies with the make, model and age of the appliance, because the engineer works to the manufacturer's service instructions for that boiler. Anything found outside the scope of the service is recorded and quoted separately in writing.

  • Visual inspection of the boiler, casing, seals and pipework
  • Checks on gas rate, standing and working pressure
  • Flue integrity and flue termination checks
  • Combustion analysis where the appliance supports it
  • Inspection of safety devices and controls
  • Checks on ventilation and condensate discharge
  • Cleaning of accessible components where the manufacturer requires it
  • A written service record naming the attending engineer

Doing both on one visit

Where a property needs both, the sensible route is one appointment. One visit, one access arrangement with the tenant, one engineer, one invoice, and two records returned at the same time. It removes a second round of access negotiation, which is usually the slowest part of the whole exercise, and it removes a second disruption to the tenant.

If you are running a portfolio, the same logic applies at scale. Tell us the renewal months and we will align the service and the safety check onto the same annual cycle per property, so each address needs one gas appointment a year rather than two, and the renewal dates are tracked rather than remembered.

Boiler repairs and breakdowns

Repairs are quoted, not guessed. When a fault is reported or found on a service, the Gas Safe registered engineer diagnoses it and records the fault and the parts required. We come back to you with a costed repair quote, normally within 24 hours during office hours, setting out the fault, the work required, the parts, the expected time on site and whether the appliance can be left in use in the meantime.

Nothing is carried out beyond the quoted scope without your written agreement. There is no coordination fee on top, no percentage taken on the engineer's figure at invoice stage and no call out surcharge added afterwards. Where the diagnosis needs an attendance before a price can be confirmed, or where a part is obsolete and the honest answer is replacement rather than repair, we say so rather than quote a number we would then have to revise.

Where an appliance is classified under the Gas Industry Unsafe Situations Procedure, the engineer follows that procedure on site and the appliance may be turned off with your permission. Holiday lets and second properties

A boiler in a holiday let or a second property has a harder life than most people assume. It sits idle for weeks, then runs hard for a fortnight with more hot water demand than a family home, then sits idle again. Idle systems seize, seals dry out, pressure drops unnoticed and nobody is present to spot the early warning signs.

The practical answer is seasonal servicing before the letting season rather than whenever the anniversary happens to fall. For most North East coastal and rural lets that means late winter or early spring, so the appliance is checked, cleaned and running properly before the first guests arrive and before the diary fills up. If the property is also let on assured or short assured tenancies at other points in the year, the Gas Safety Record still needs to run on its own 12 month cycle, and we track both dates against the property.

Empty property access is usually easier, which means these visits can often be booked at short notice. Tell us the property is unoccupied and we will say what the earliest available slot is.

Older boilers and the EPC C requirement from 2030

Heating is one of the elements assessed in an Energy Performance Certificate. The main heating system, its controls, the fuel and the efficiency of the appliance all feed into the rating, alongside the fabric of the building, insulation levels and hot water provision. An old, inefficient, poorly controlled boiler drags the rating down, and a well controlled modern system helps it.

That matters because privately rented homes in England are expected to reach EPC band C under the proposed Minimum Energy Efficiency Standard timetable. If your rental has a boiler that is fifteen or twenty years old, the servicing conversation and the EPC conversation are the same conversation. Servicing keeps the existing appliance efficient and evidenced in the meantime; it does not by itself move the rating. Who carries out the work

Every job is carried out by an independently qualified subcontractor. Boiler servicing, boiler repairs, gas safety checks and gas remedial work are carried out by a Gas Safe registered engineer. EPCs are carried out by an accredited Domestic Energy Assessor. Electrical inspection, testing and remedial work is carried out by a qualified electrical contractor.
